Information We Collect Automatically

Our hosting provider may collect standard server logs (such as IP address, browser type, and pages requested) needed to operate and secure the site. We also use Vercel Web Analytics, described in the cookies section below, for anonymous page-view statistics. We do not use advertising trackers or analytics cookies.

We use your information to:

• Provide and improve our automation services
• Respond to your inquiries and schedule consultations
• Draft an initial email reply with AI assistance so we can acknowledge your message quickly; a human reviews and continues the conversation when you reply
• Analyze your workflows and provide recommendations
• Send you relevant updates about our services (with your consent)
• Ensure the security and proper functioning of our services
• Comply with legal obligations and protect our rights

We do not sell, trade, or rent your personal information to third parties.

We may share your information only in these limited circumstances:

• Service Providers: Trusted partners who help us deliver our services, including email delivery and AI providers used to draft first-reply emails (under contractual data-processing terms)
• Legal Requirements: When required by law or to protect our rights and safety
• Business Transfers: In the event of a merger, acquisition, or sale of assets (with notice to you)
• Your Consent: When you explicitly authorize us to share your information

We take reasonable steps to protect information you submit through our forms:

• Encryption in transit: The site is served over HTTPS
• Access controls: Form submissions are delivered to our inbox and handled by the people who need them to respond
• Limited retention: We keep contact and project details only as long as needed to help you or meet legal obligations

We are not currently SOC 2 certified. Where GDPR or similar laws apply, we process personal data under the lawful bases described in this policy and honour the rights listed below.

You have the following rights regarding your personal information:

We use Vercel Web Analytics, a service from our host Vercel, to understand how the site is used. It does not use cookies. Page views, and a few custom events such as a form being submitted, are recorded as anonymous aggregated statistics. A data point can include the time, the page URL, the route pattern, the referrer, filtered query parameters, an approximate location, the operating system, the browser, and the device type. Vercel identifies a visit with a hash of the request, and that session identifier is discarded after 24 hours. The data is not tied to a name, an email address, or an IP address, and it is not used to track someone across other websites. We do not use advertising cookies. The hosting platform may still set essential cookies needed to deliver the site securely.

We store a language-preference cookie named NEXT_LOCALE. It contains only the language code (en, fr, or nl), lasts up to one year, and is not used for advertising. When you choose a language, we also set a localStorage item named aiautomationx.locale-chosen to 1. That key records that you made a choice. The language code itself is kept in the NEXT_LOCALE cookie, not in localStorage. If you dismiss the optional language suggestion, we set aiautomationx.locale-suggestion-dismissed to 1 in localStorage on your device. Neither localStorage value is sent to our servers.

We retain your information for as long as necessary to:

• Provide our services to you
• Comply with legal obligations
• Resolve disputes and enforce our agreements
• Improve our services and operations

Generally, we retain contact information for 7 years and project data for 5 years after the last interaction, unless deletion is requested earlier.

Your information may be transferred to and processed in countries other than your own. We ensure adequate protection through:

• Standard contractual clauses approved by regulatory authorities
• Adequacy decisions for certain countries
• Other appropriate safeguards as required by law

Our services are not intended for children under 16 years of age. We do not knowingly collect personal information from children under 16. If we become aware that we have collected such information, we will promptly delete it.

We may update this privacy policy to reflect changes in our practices or legal requirements. We will notify you of significant changes by:
